This tool empowers office managers to delegate the responsibility of tracking treatment presentations to their staff with ease. The development of the Treatment Presentation tool in TeamCare's Checkouts was driven by a clear need within the dental industry. Traditional PMS systems often fall short when it comes to efficiently logging and analyzing treatment outcomes at scale. TeamCare recognized these limitations and addressed the issue by allowing front desk staff to record relevant data during the patient checkout process. This innovation enables practice owners and managers to gain a comprehensive view of acceptance rates across all providers within the practice.
How to Track Treatment Plans at Checkout
To track treatment presentation scenarios in TeamCare, follow the steps below.
Steps

Navigate to Checkouts: To begin tracking treatment presentations, navigate to the "Checkouts" tab in the top-right corner of your TeamCare dashboard.
- Claim the Checkout: From the patient Checkout record, first confirm hygiene preappointment, then review the Treatment Plan for the patient.

Enter Treatment Details: After confirming the hygiene preappointment, select "Presented Treatment" during the checkout process. If the patient was not presented with treatment options, you can choose "Did not Present." Then, fill in the following details for Treatment Summary, Patient payment, and Insurance coverage.
- Note: It's remember that all treatments must be scheduled in the PMS before syncing with TeamCare. Additionally, it's considered a best practice to use two monitors, one with the PMS running and the other with TeamCare, for easy access to both systems simultaneously.

- Log Details From PMS: To reduce confusion when reviewing and confirming the details of a treatment presentation in the days following the patients visit, add a screenshot from your PMS and other relevant documents for managers to reference as needed.

Schedule Treatment: After entering the presentation details, click "Next" to confirm that the treatment has been scheduled in your PMS.

Note: If the patient opts not to schedule and is marked as "Deferred," they will be added to the Treatment Plan Reactivation Call list. See below

Review and Confirm: If the patient has been successfully scheduled in the PMS, click "Submit" to review the treatment presentation.

Submit the Treatment Presentation: Finally, review the Treatment Presentation "Summary" to confirm the details, and mark the treatment plan as "Completed."
Incorporating Treatment Presentation Metrics
TeamCare goes beyond simply tracking treatment presentations. Monthly presentation statistics, real-time acceptance rates, and product metrics are readily available in TeamCare's Financial Dashboards, Doctor and Front Desk Leaderboards, and Daily Email Reports.
Implementing Incentives
Many practices that leverage the Treatment Presentation tool also implement TeamCare Incentives. This feature allows you to set up badges to track staff achievements, such as scheduling same-day treatments or demonstrating exceptional behavior that goes above and beyond.
